This Privacy Policy explains what personal information the Reimbursement Service collects, why we collect it, and how we handle it. We are committed to protecting your information and using it only to provide this service.

2. Information we collect

To process reimbursement requests, we collect and store:

  • Name — to identify the person being reimbursed.
  • Email address — to sign you in and to send notifications about your requests.
  • Mailing address — used when a reimbursement is paid by mailed check.
  • Zelle ID (or similar payment identifier) — used to send electronic reimbursement payments.
  • Expense details and receipts — the amounts, dates, descriptions, and receipt images or documents you submit to support a request.

3. How we use your information

We use your information solely to provide the reimbursement service — specifically to:

  • review, approve, and process your reimbursement requests;
  • pay approved reimbursements;
  • communicate with you about your requests; and
  • maintain the Church’s financial and accounting records.

4. We never sell your data

We never sell your personal information, and we never use it for any purpose other than providing this service. We do not use it for advertising or share it with third parties for their own purposes.

5. Who can see your information

Your information is visible only to the Church staff, approvers, and finance team members involved in processing your reimbursements, and is recorded in the Church’s accounting system for bookkeeping. The service runs on Google Cloud (Firebase and Google Drive); these providers process data on our behalf to host the service.

6. Data retention

We keep your information for as long as needed to process reimbursements and to meet the Church’s financial record-keeping and legal obligations.

8. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent revision.
